Terms of Service

Last updated: October 16, 2026

These terms govern your use of Tenderloop. Please read section 6 in particular — it sets out who is responsible for checking a quote before it reaches your customer.

1. Who these terms are with

Tenderloop is provided by Alto Perfis Pultrudidos Lda, registered under NIF 503609013, at Zona Industrial da Maia I, Sector I, R. de Raimundo Durães Magalhães lote 20, 4475-189 Maia (Portugal) — "we", "us". "You" means the business that opens an account.

By creating an account you accept these terms. If you are accepting them for a business, you confirm you are authorised to bind it.

The service is for business use. It is not offered to consumers.

2. What the service does

Tenderloop connects to a mailbox you nominate, reads incoming request-for-quote emails, matches the products requested against a price list you upload, generates a quote in a document template you supply, and replies with it as a PDF.

We validate your quote template before it goes live. Until that validation is complete, quoting does not run.

3. Your account

You must give accurate registration details and keep them current. You are responsible for everything done under your account and for keeping credentials secure. Tell us promptly at hello@tender-loop.com if you believe an account has been compromised.

You must verify your email address before the account becomes usable.

4. Trial, plans and billing

New accounts start on a one-month free trial. No card is required to begin it, and it does not convert to a paid plan by itself.

Paid plans are billed in advance, monthly or annually, through Stripe. Prices are in euros and exclude VAT, which is added where applicable.

Each plan carries limits on catalogue size and quotes per month. Reaching a limit stops further quoting for that period; it does not delete anything.

You may cancel at any time. Cancellation takes effect at the end of the period you have already paid for, and we do not refund the remainder of a period except where the law requires it.

We may change prices with at least 30 days' notice by email. A change takes effect at your next renewal, and you may cancel before it does.

5. What you may not do

Connect a mailbox you are not authorised to access; use the service to send unsolicited bulk mail; upload content you have no right to use; attempt to breach the isolation between accounts, reverse-engineer the service or interfere with its operation; or resell the service without our written agreement.

6. Quotes are automated. Checking them is yours.

This is the most important term in this document.

Quotes are generated automatically from your price list. Every line's price is recomputed on our servers from your own validated catalogue — a language model never sets a price — and anything that cannot be confidently matched to your catalogue is flagged for review rather than priced.

But automatic extraction can still misread a request: a wrong quantity, a wrong variant, a product matched to the wrong catalogue row. You are responsible for reviewing a quote before it goes to your customer, and for any quote sent from your mailbox. A quote produced by the service is not an offer by us and does not bind us.

If you enable automatic sending, you accept that quotes leave without a human check, and you accept the commercial consequences of that choice. The review flags exist so you can avoid it.

We do not warrant that every request will be recognised as a request, that every product will be matched, or that any quote will be free of error.

7. Your data, and your responsibility for it

Your price list, template, quotes and mailbox content remain yours. You grant us only the licence needed to run the service for you: to store that content, process it as described in the Privacy Policy, and produce quotes from it.

You confirm you are entitled to give us access to the mailbox you connect, and that you have a lawful basis for us to process the personal data in the emails it receives. As between us, you are the controller of that content and we are the processor. Where you need a Data Processing Agreement, ask us for one.

You are responsible for telling the people who email you how their data is handled, as your own privacy notice requires.

8. Our intellectual property

The service, its software and its branding are ours and stay ours. These terms grant you a right to use the service during your subscription, and nothing more.

9. Availability

We work to keep the service available but do not guarantee uninterrupted operation. Parts of it depend on services we do not control — Gmail, Microsoft 365, Stripe and Azure — and an outage there can stop quoting.

We may suspend an account that is materially in breach of section 5, or that puts the platform's security or stability at risk. Where circumstances allow, we will tell you first.

10. Liability

Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.

Subject to that: the service is provided as-is, without implied warranties of merchantability or fitness for a particular purpose. We are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of data.

Our total liability arising from the service in any twelve-month period is limited to the fees you paid us in that period.

In particular, and consistent with section 6, we are not liable for the commercial consequences of a quote you sent — including an underpriced, overpriced or mistaken one.

11. Ending the agreement

You may close your account at any time from the portal. Doing so deletes your data, including stored files, and cannot be undone — export anything you need first; the portal will produce a full export on request.

We may terminate for material breach that is not remedied within 14 days of notice. On termination for any reason, your data is deleted as set out in the Privacy Policy, except for records we must retain by law.

12. Changes to these terms

We may update these terms. Material changes are notified by email at least 30 days before they take effect. Continuing to use the service after that means you accept them; if you do not, you may cancel.

13. Governing law

These terms are governed by the law of Portugal, and the courts of Portugal have exclusive jurisdiction.

If any provision is found unenforceable, the rest continues to apply.
